Privacy Notice

This notice explains what information is collected, why it is used, who can access it and how to request correction or deletion.

Last updated: 26 September 2026

Website enquiries and newsletter

An enquiry may include your name, email address, organisation, enquiry type, preferred timing and the context you choose to share. Newsletter signup collects your email address and the page where you subscribed. These records are used only to respond, deliver the update you requested and operate the website; they are not sold.

Trybe Next event registration

Registration for a Trybe Next event may collect the primary contact’s name, email, mobile number and relationship to the participant; each participant’s name, date of birth, calculated age and optional school/grade or contact details; transport interest; one emergency contact; optional access information; attendance acknowledgement; and media choice.

The primary contact and event team use this information to confirm eligibility, plan attendance and transport, support safe access, record the choices made at registration and communicate event details. Optional access notes are not sent to analytics and are not included in routine confirmation or daily-summary emails.

Named event helpers use individual accounts to manage the Lagos program, questions and attendance according to their assigned role. Their name and role are stored with their account, and the latest helper to change a question or attendance status may be shown to the authorised team.

Lagos special gift applications

Applications collect the young person’s name, age on the event date, area in Lagos, examples of their impact, future plans and optional support needs; the primary contact’s name and email, optional phone number, and application and follow-up acknowledgements. A parent or legal guardian applies and acts as the primary contact for anyone under 18.

Earlier applications may also contain device-access information; this is no longer requested or used as a selection criterion. The authorised team uses these details to review applications, discuss plans, communicate outcomes and coordinate follow-up with recipients. Applications are separate from event registrations and newsletter subscriptions. Application answers are not published or included in acknowledgement emails. Do not submit identity documents, financial records, passwords or a full home address. Records are kept only while needed for selection, follow-up and appropriate programme records; you may request correction or deletion using the contact below.

Young people and guardian choices

A parent or legal guardian should register a participant under 18. A participant aged 18–19 may register themself. The form separates attendance acknowledgement from photography and video choice. Choosing “No” to identifiable photography or video does not prevent attendance.

Questions about life, faith, relationships, pressure or the future are not collected with registration details. Young people can use the anonymous No Filter question board or a paper card at the event. The registration form and question board are not emergency or crisis-reporting services.

Photography and video

When permission is given, Trybe Impact may use identifiable event photography or video for its website, social channels and programme communications. A participant or guardian may contact the team to ask about a choice or request withdrawal for future use. Practical removal can depend on where material has already been published or shared.

Analytics and device information

Firebase Analytics may process aggregate information about pages, device type and interactions so the team can understand whether the site works well. Names, email addresses, phone numbers, dates of birth, school details and form free text are not intentionally sent as analytics event parameters.

Optional AI voice assistant

If you choose to start a voice conversation, LiveKit processes your microphone audio so the assistant can respond. The portfolio stores the call summary and any enquiry details you choose to share in a private administrator system; it does not copy the full transcript or audio recording into that system. Depending on the LiveKit project settings, LiveKit may retain session transcripts and audio for up to 30 days. The assistant can help you request a conversation, but it cannot confirm a meeting booking or send follow-up messages. Your browser controls microphone access, and you can decline or end the call at any time.

Service providers

Vercel hosts and delivers the website. Google Firebase stores submissions and provides analytics. LiveKit provides the optional voice assistant and processes call audio. Resend delivers automated website and event emails. Spacemail provides the human inbox used to receive and reply to messages. Each provider processes information under its own service and privacy terms.

Access, security and retention

Submitted records are restricted by authenticated administrator access and database rules. Information is retained only while it is reasonably needed to answer an enquiry, operate the event, maintain a requested subscription or meet legitimate record-keeping and safeguarding needs. More sensitive access and emergency details should be removed earlier when they are no longer operationally required.

Correction, deletion and unsubscribe requests

You may ask to access, correct or delete information you submitted, update a registration choice, or unsubscribe from updates. The team may ask for enough information to verify the request before acting.
